Donation Terms & Refund Policy — Minhaj Institute Walsall
SECTION 01

Introduction

This Donation Terms & Refund Policy ("Policy") explains the terms that apply when you make a donation to Minhaj Institute Walsall ("we", "us", "our") through our website, by bank transfer, over the phone, or in person.

By making a donation to us, you agree to the terms set out in this Policy. This Policy should be read alongside our Terms & Conditions and Privacy Policy, which apply more broadly to your use of our website and services.

As a charitable organisation, we rely entirely on the generosity of our community. We are committed to handling every donation with transparency, integrity, and care.

SECTION 02

You can donate to Minhaj Institute Walsall in the following ways:

  • Online — through our website, via secure third-party payment providers
  • Bank transfer — directly to our organisational bank account
  • In person — at our premises at 49 Woodwards Road, Alumwell, Walsall WS2 9RJ

All donations are voluntary. By making a donation, you confirm that the funds you are donating are your own and have not been obtained unlawfully.

SECTION 03

Payment Processing

Online donations made through our website are processed securely by third-party payment providers, which may include PayPal, Stripe, or JustGiving. When you make an online donation:

  • Your payment details are transmitted directly to the payment provider using industry-standard encryption
  • We do not store or have access to your full card details
  • The payment provider's own terms of service and privacy policy apply to the handling of your payment information
  • Transaction fees may be deducted by the payment provider before funds reach us; where possible, we will indicate this at the point of donation

Please refer to our Privacy Policy for further information on how we handle personal data collected during the donation process.

SECTION 04

Gift Aid

Gift Aid is a UK Government scheme that allows charities to reclaim tax on donations made by UK taxpayers, at no extra cost to the donor. It is administered by HM Revenue & Customs (HMRC) under the Income Tax Act 2007 and related legislation governing charitable tax relief.

Boost Your Donation by 25%

+25%

If you are a UK taxpayer, Gift Aid allows us to claim an extra 25p for every £1 you donate, at no extra cost to you. A £50 donation becomes £62.50 at no additional cost to you.

Eligibility

To qualify for Gift Aid, you must:

  • Be a UK taxpayer
  • Have paid enough UK Income Tax and/or Capital Gains Tax in the relevant tax year to cover the amount HMRC will claim on all of your Gift Aid donations (currently 25p for every £1 you give)
  • Provide a valid Gift Aid declaration, either online, in writing, or verbally (which we will confirm in writing)

Your Responsibility

It is your responsibility to notify us if you:

  • No longer pay sufficient UK tax to cover the Gift Aid claimed on your donations
  • Want to cancel your Gift Aid declaration
  • Change your name or home address

If you pay less Income Tax and/or Capital Gains Tax in a tax year than the amount of Gift Aid claimed on all of your donations in that year, it is your responsibility to pay any difference to HMRC.

For further guidance on Gift Aid eligibility, visit the official UK Government Gift Aid guidance. To request a Gift Aid declaration form, please contact us using the details at the bottom of this page.

SECTION 05

Refund Policy

As donations are voluntary charitable gifts, they are generally non-refundable. However, we understand that genuine errors can occur, and we will consider refund requests in the following circumstances:

Situation Our Approach
Duplicate donation made in error Refund will be processed upon verification
Incorrect donation amount entered Refund of the excess amount will be considered upon request
Unauthorised or fraudulent transaction Please contact us and your bank or card provider immediately; we will fully cooperate with any investigation
Change of mind after donating As a charitable gift, refunds for change of mind are considered at our discretion and are not guaranteed

To request a refund, please contact us within 14 days of the donation, providing your name, the date and amount of the donation, and the payment method used. We aim to respond to all refund requests within 10 working days.

Please note: if Gift Aid has already been claimed on a donation that is subsequently refunded, we are required to repay the associated Gift Aid to HMRC. This does not affect your right to a refund of your own donation.

SECTION 06

Recurring (Monthly) Donations

If you set up a recurring monthly donation, the following terms apply:

  • Your chosen amount will be charged automatically on the same date each month, using the payment method you provided
  • You can cancel or amend your recurring donation at any time by contacting us or, where applicable, through your payment provider's account settings
  • We recommend providing at least 5 working days' notice before your next scheduled payment date if you wish to cancel or change your donation
  • We are not responsible for failed payments due to expired cards, insufficient funds, or changes to your bank details — please keep your payment information up to date
SECTION 07

Errors, Disputes and Chargebacks

If you believe an error has occurred with your donation, please contact us in the first instance so we can resolve the matter directly and promptly. We are always happy to correct genuine mistakes.

If you dispute a transaction directly with your bank or card provider (a "chargeback") without first contacting us, this may delay resolution and could result in additional fees being deducted from the funds available to support our charitable work. We kindly ask that you reach out to us first wherever possible.

SECTION 08

Zakat and Sadaqah Donations

We are pleased to accept Zakat and Sadaqah donations in support of our work. Where you indicate that a donation is intended as Zakat, we will endeavour to direct these funds towards eligible causes and beneficiaries in accordance with Islamic principles, to the best of our understanding and organisational capacity.

If you have specific questions about the eligibility of your donation as Zakat, we encourage you to seek guidance from a qualified scholar, and you are welcome to contact us to discuss how Zakat funds are used within our organisation.

SECTION 09

Fraud Prevention

We take the prevention of fraud seriously and reserve the right to:

  • Decline or reverse any donation we reasonably suspect to be fraudulent or made using unlawfully obtained funds
  • Request additional verification for unusually large donations
  • Report suspected fraudulent activity to the relevant authorities, including Action Fraud, the UK's national reporting centre for fraud and cybercrime

If you suspect you have been the victim of fraud in connection with a donation made to us, please contact us immediately and report the matter to Action Fraud.

SECTION 10

Changes to This Policy

We may update this Policy from time to time to reflect changes in our practices, payment providers, or legal requirements. Any changes will be posted on this page with an updated "Last updated" date at the top.

We encourage you to review this page periodically, particularly before making a donation.
